Request for travel must be made in writing using the form on the HERE and submitted to VP of Sales for approval, prior to organizing any such visits.

  1. Requests should include the following:
    1. List of customers/agents you plan on visiting
    2. Purpose of visit at each location (i.e. new product review)
    3. Number days required for the trip
    4. Logistics plan for travel (i.e. you are driving there, flying and driving etc.)
  2. Pre-Requisites prior to making a request for travel:
    1. The state and/or county each visit is located must not be under any travel or shelter in place restrictions. Must be open for business in some capacity.
    2. You must be invited by each customer/agent, no knocking on doors and showing upwithout an invitation.
    3. Review the CDC’s list of “People Who Are at Increased Risk for Severe Illness –Older Adults & People with Underlying Medical Conditions”. Please notify HumanResources if you are at increased risk of severe illness from COVID-19 as this willbe reviewed and considered before approving travel requests.
  • If approved:
    1. You must adhere to all safety protocols laid out by the State, County, Municipality,and/or customer/agent. (i.e. wearing a mask, wearing gloves, social distancing, etc.)
    2. If you feel you’ve contracted COVID while on your trip:
      1. Quarantine yourself from others
      2. Seek medical attention if symptoms are severe
      3. Contact HR Immediately 321.275-2032| X 133

UPDATE: June 30, 2020

Effective July 1, 2020, face coverings are required for all employees reporting to ILLUMUS facilities located in Sanford, Florida. This mandatory safety measure is implemented until further notice, in response to Seminole County’s EXECUTIVE ORDER 2020-030.

Disposable and cloth face masks are available and will be provided by the supervisory team upon request.  Other personal face coverings recommended by the CDC such as bandannas, neck gaiters, and homemade masks are also acceptable.

If you have a medical condition that prohibits you from wearing a face covering, please see Human Resources immediately to follow up.

ILLUMUS Business Travel Policy & Personal Travel Guidelines

In May 2020, sales travel guidelines were released and posted in the ILLUMUS COVID-19 Internal Communication Center effective June 1, 2020. No other business travel is authorized at this time and the sales travel guidelines will remain in effect until further notice.

Regarding personal travel within the U.S., the Pandemic Preparedness Committee recommends that employees consider limiting or cancelling non-essential personal travel plans, in follow up to CDC guidance – “Considerations for Travelers”. All employees are strongly encouraged to review this CDC resource, which includes questions to ask and risks to be aware of if you and/or your family are planning domestic travel. Please also be advised that several States (such as NY, NJ, and CT) have recently announced mandatory 14-day quarantine requirements for travelers arriving from other states in the U.S. Inter-State travel restrictions will likely continue to evolve in response to positive COVID-19 reporting, therefore, please check with each State’s official .gov website for additional information when planning any essential travel to another State.

Regarding personal travel outside of the U.S., the CDC recommends that all returning travelers self-quarantine for 14-days after international travel. Please review the CDC resource – “Returning from International Travel” for additional information. If you have international travel plans, it is important that you provide this information to your Manager and Human Resources as soon as possible.

Although Inter-State and Foreign travel is strongly discouraged at this time, it is very important that employee’s report all upcoming travel plans to their Manager with as much advance notice as possible. Employee travel reporting is important to ensure that Managers, Human Resources, and the Pandemic Preparedness Committee are all able to provide guidance and resources supporting the travelling employee and any co-workers they come in contact with upon their return. Effective July 1, 2020, all employees currently working onsite will be required to complete a Return-to-Work Assessment with ILLUMUS’ preferred medical provider following any Inter-State or International travel.

Please do not hesitate to reach out with any questions or concerns and thank you in advance for reporting all travel plans. This is an important part of our ongoing COVID-19 response plan to educate and protect our workforce. Everyone’s support and commitment to limiting and/or reporting travel is much appreciated.

Earlier this week, Seminole County, Florida, issued a COVID-19 Social Distancing Executive Order that limits group size and spacing distance between employees in the Sanford facilities.  Thanks to the proactive efforts of the Operations leadership team, the manufacturing facility already had many preventative measures in place such as modified work schedules, staggered breaks, alternative timekeeping, designated individual work zones, and increased sanitization efforts to ensure that our operations employees are protected.  We are fully in compliance and will continue to monitor recommendations to ensure that we are providing a safe workplace for all employees.

Today, Florida’s Governor Rick DeSantis issued a 30-day “Stay at Home” Executive Order that goes into effect on Thursday, April 2, 2020 at midnight.  Thanks to the tremendous efforts and support of our employees and leadership team, all of our non-operations Florida workforce has transitioned to telecommuting status.  The Florida Executive Order, as well as all other Executive Orders in States where our employees reside that limit travel, do not impact to our telecommuting workforce as they do not prohibit working from home.

As a lighting manufacturer and distributor, ILLUMUS is considered an essential critical infrastructure business.  Therefore, our Sanford facilities will remain open to process, manufacture, and ship orders to our customers.  A Travel Authorization letter is available for our Florida operations and operational support workforce that are unable to telecommute due to the nature of their jobs.  Please see Human Resources for a copy of this letter.  I recommend that you keep a copy on your person, or in your vehicle as you are traveling to and from work during the Florida “Stay at Home” travel restriction period.  I will continue to monitor all updates and guidance from local, state, and federal authorities to ensure that the most accurate and updated information is communicated to all employees.
